Implementation programme

Below is an overview of the programme of work we will undertake together to support you through each stage of your implementation journey. Each workshop outlined will be preceded by required digital content or customer-led activities to ensure readiness and maximise effectiveness.

Core HR

Data Workshop

Support on the following:

- The required data we will need to load into your People First system.

- How the data should be populated and supplied.

- How the data migration will be phased and into which environments.

- Recommended considerations when going into your blueprinting sessions. 

Blueprint Population

Support on the following:

- Identification of required configuration items to support business needs / changes in business processes.

- Population of a full blueprint detailing all required HR configuration.

- Customer sign off of content ahead of build.

Production Environment Configuration

MHR will own:

- Configuration of the Production Environment based on the signed off blueprints.

- Completion of a Production to Sandbox database copy, aligning the configuration in both environments to the signed off blueprints.

Data Review - Sandbox

MHR will own:

- Follow on session to review the populated data and validate quality. 

- Customer facing call completed to go through findings and suggest corrections.

Customer will own: 

- Correction of any outstanding data items before data load

Data Load - Sandbox

MHR will own:

- Loading of the provided data into the Sandbox environment. 

- Setting of system ready for knowledge transfer / UAT.

- Output creation showing total volume of data loaded and any corrections made / issues encountered.

HR Handover

MHR will own:

- An overview of the Sandbox People First environment, showing the configuration and data that has been configured in People First as per the agreed scope. 

- Focus on the organisation structure, core configuration and people/employment data.

Structure, Reporting Hierarchy & Inheritance

MHR will own:

- An overview of the People First functionality (Organisational, reporting lines and people data).   

System Administration & Custom Tools

MHR will own:

- An overview of key platform capabilities, including branding, custom tools, privacy and data retention settings, user access controls, audit functionality, and engagement tools. 

HR Processing

MHR will own:

- An outline of key HR processes to maintain your People First structure and employee data, and review and explain the various reporting tools available within the platform.

HR Absence Management

MHR will own:

- Transfer of the skills required to maintain and manage absence processes within People First.

HR UAT Support

MHR will own: 

- Delivery of a focused session that reviews completed UAT scripts.

- Answer any queries which may have results from testing.

- Make any final configuration amendments required.

 

Data Review - Production

MHR will own:

- Follow on session to review the populated data and validate quality. 

- Customer facing call completed to go through findings and suggest corrections.

Customer will own: 

- Correction of any outstanding data items before data load

Data Load - Production

MHR will own:

- Loading of the provided data into the Production environment. 

- Output creation showing total volume of data loaded and any corrections made / issues encountered.

HR Go Live Support

MHR will own:

- Delivery of a session to launch People First to employees and managers.

- Ensure all go live actions are complete.

- Ensure communication and rollout plans are in place.

HR Post Go Live Support

MHR will own:

- Review of any queries raised since launch. 

- Facilitate discussion around the adoption of People First.

- Discuss any functionality updates since launch.

Data Load - Sandbox

MHR will own:

- Loading of the provided data into the Sandbox environment. 

- Loading and balancing of Year-to-Date values. 

- Setting of system ready for knowledge transfer / UAT.

- Output creation showing total volume of data loaded and any corrections made / issues encountered.

Payroll Handover

MHR will own:

- An overview of the Sandbox People First environment, showing the configuration and data that has been configured in People First as per the agreed scope. 

- Focus on the payroll and pay data.

Payrolls, Pay Items & Pension Schemes

MHR will own:

- A review of the built payrolls and relevant pay items. 

- Assurance that the build matches the customer’s requirements.

Payroll Processing

MHR will own:

- Transfer of the skills required to process payroll from start to finish within People First.

Payroll UAT Support

MHR will own: 

- Delivery of a focused session that reviews completed UAT scripts.

- Answer any queries which may have results from testing.

- Make any final configuration amendments required.

Data Review - Production

MHR will own:

- Follow on session to review the populated data and validate quality. 

- Review of provided Year to Date values.

- Customer facing call completed to go through findings and suggest corrections.

Customer will own:

Data Load - Production

MHR will own:

- Loading of the provided data into the Production environment. 

- Loading and balancing of Year-to-Date values. 

- Setting of system ready for parallel run.

- Output creation showing total volume of data loaded and any corrections made / issues encountered.

Parallel Run Input

MHR will own:

- A review of the imported Year-to-Date data.

- Knowledge transfer of the data that needs to be entered into People First for the relevant parallel run period.

Parallel Run Balancing

MHR will own:

- Balancing of the parallel run data against the legacy payroll.

Go Live - Input

MHR will own:

- Support entering the relevant payroll data for the go-live period into People First.

Go Live - BACS, EPS, FPS, & Cleardown

MHR will own:

- Support finalising the live run within People First.

- Support outputting the relevant documents and processes to successfully pay out of People First.

Payroll Post Go Live Support

MHR will own:

- Review of any queries raised since launch. 

- Facilitate discussion around the adoption of People First.

- Discuss any functionality updates since launch.
