Introduction
Workforce management systems are used to allocate people to tasks or shifts to fulfil the needs of the organisation. They are commonly used in retail, warehousing and hospitality.
People First has an integrated workforce management solution (Workforce Management Software)
If you are using another system for workforce management, there are two main process models that are recommended.
- Using WFM supplier to do the workforce management
- Using a partner to provide the clock data
Integration with WFM using People First APIs
People First can be integrated with a 3rd party workforce management system (e.g. UKG).
With this option, most of the workforce management process is performed by the WFM supplier. People First provides the following:
- People and structure master data e.g. department, manager.
- Absence recording and the configuration and calculation of statutory and occupational payments for People First payroll.
- Payroll payment for time worked including costing.
The key stages of this integration are:
- Initial load of data
- Set up the webhooks to bring through changes to People, structure and absence
- Employee work schedules are set up in the workforce management system
- Time data is recorded locally and compared to the schedule.
- The WFM calculates the number of hours to be paid per payroll payslip item.
- Payroll claim data imported to People First payroll.

Note in order to use a personal access token against a Time API, the Workforce Management Integration role must be assigned.
