This notice explains the processing that MHR undertakes in relation to your personal data to help you to understand how we collect, process, and protect your personal data.

2. Our Role

MHR is the “Data Controller” for the personal data that is covered by this notice. We will process your data in line with all applicable laws including the Data Protection Act 2018, the General Data Protection Regulations (GDPR) 2016 and the UK GDPR.

3. Our lawful basis for processing your data

We only process data where we have a lawful reason to do so, we rely on a number of legal bases to do this:

  • Contract: This is where we process your information to fulfil a contract, we have with you or your employer, to deliver products and services.
  • Consent: Where you give us permission to use your data for a particular purpose, for example for marketing our products or services
  • Legitimate Interests: This is where we rely on our business interests to process personal data. Generally, this is to provide you with information about our products and services that we believe will be of interest to you.
  • Legal Obligation: This is where we have a statutory or other legal obligation to process your information such as in the investigation of a crime.  

MHR may disclose personal data and information if it is required to do so by law, Court Order, or for the prevention of fraud or crime, or if we believe it is necessary to defend the rights, property or personal safety of the MHR website or its visitors.

4. What data we collect about you and how we use it

This section deals with the different personal data that we collect, what we use it for and who we use to process that data. 

The personal data that we process may include your name, your business email address, telephone numbers, business address, and your job title as provided by you. We may also collect your IP address and social profile links.  

  • Marketing – website: We collect personal data directly from you when you request a download of a report from our website, or you request a demo of one of our systems, via one of our contact forms.  We use this information to market to you based on our legitimate interest. You can unsubscribe at any time should you decide that you don’t wish to hear from us. During the course of your interaction with us, we may share some of your information with Google in a hashed format to allow for improved analytics.
  • Marketing – Events: There are two ways that we may collect personal data from you at an event either through the scanning of your badge/business card or the collection of your details on an online form. We use this information to follow up on your interests and provide information about other products and services that we believe will be of interest to you. This is done with your consent or based on our legitimate interest, and you can unsubscribe at any time should you decide that you don’t wish to hear from us.
  • Marketing – Tele-sales: We use data brokers to provide leads for our telesales team to contact. These leads will provide us with your name, your business email address, and your job title together with the company that you work for.

In some instances, calls are recorded for training and monitoring purposes, and you will be notified at the time. These recordings are not shared with any third party, other than our service providers.

We process this data on the basis of our legitimate interest, and you can unsubscribe at any time or ask us to remove you from our contacts list. Customer Portal / Service Management: We process information about you such as your name, job title and business email address so that we can fulfil our obligations under the contract we have with your employer to provide the support for the products and services that your company has purchased. 

In all Marketing/Customer support activity your data is processed by us using our CRM system hosted by Salesforce and for marketing activities it is managed through our marketing software (Marketo).   • Customer Relationship Management: during the course of our relationship with you we may use video recording software such as MHR Notetaker (Clari Copilot) or Microsoft Teams. This provides us with formatted call summaries for notetaking and training purposes. Notification will be given at the start of the call, and it can be stopped at anytime.
  • Recruitment: If we receive your CV, this may contain sensitive or ‘special category’ personal data. Although this does not form part of any initial contract with us, this, and other relevant personal data that you provide, or that we ask you for, is a necessary step prior to entering into any future contract of employment with MHR.  No decisions will be made solely by automated decision-making (including profiling).  A separate privacy notice will be made available to you as part of the recruitment process, a copy of this can be found on our careers page.

5. Cookies

While you are using this website, we may use cookies and collect other information (such as IP addresses and type of internet device) regarding your browsing activity.  This information is used to assist us in evaluating, developing, and improving this website.  We do not use this information to attempt to find out the identities of those using our website.

On your first visit to our website, you will be presented with the option to accept or decline our use of cookies. You can change your mind by clicking the icon at the bottom left of the webpage. 7. How long do we keep your data?

We will retain your personal data for as long as it is necessary for any contract you have, or may have had, with MHR or until you unsubscribe from any notifications that you have been receiving. Once any personal data is no longer needed, it may be fully anonymised and used for analytical purposes.

8. Security

We apply appropriate security controls to the access, use and storage of the data that you provide to us. This is evidenced by our achievement of certification to recognised security standards and our use of external providers to validate our controls.

Additionally, all of the third-party suppliers that we use are vetted and approved by our Business Assurance team to ensure that your data is stored securely.

9. Your rights

  • Right of Access: You have the right to request a copy of the data that we hold about you. We may ask you to provide evidence of your identity before we release this information.

 

  • Right to Rectification: If you think any of your personal data is incorrect you may request for it to be updated.

 

  • Right to erasure (also known as the right to be forgotten) and the right to restriction of processing. 

You can ask us to stop processing your data in certain circumstances.

 

  • Right to data portability: Only applicable where we process your data on the basis of your consent.

 

  • Rights with regard to automated decision-making including profiling.

We do not use your personal information to make automated decisions, we may profile you for marketing purposes, but this is at an organisation level, and you can request that we remove your personal information from our database by unsubscribing from our marketing activity.

 

  • Right to withdraw consent: where we rely on your consent for processing your personal data you can withdraw that consent at any time.
